Traders Terms & Conditions 2026

1. Documentation Requirements

All traders must provide the following documents on or before the day of arrival , and they must be available for inspection on or before 17th July 2026:

Food Hygiene Certification — Any trader preparing, cooking, or serving food must supply a valid Level 2 (or higher) Food Hygiene Certificate for all relevant staff.

Public Liability Insurance — Minimum cover of £5 million (or your event’s required amount). A copy of the certificate must be submitted in advance and available on request during the event.

Risk Assessment — A written risk assessment covering your activities, equipment, and any potential hazards.

Safety Handling Statements — Where applicable, traders must provide COSHH information, allergen statements, and safe operating procedures for equipment or substances used on-site.

2. Arrival & Access

Traders may arrive from Wednesday 15th July 2026 at or after 11:00am.

Early arrivals will not be admitted before this time.

All traders must follow the instructions of gate staff during arrival and setup.

3. Wristbands & Vehicle Passes

Trader Wristbands will be issued on arrival and must be worn at all times while on the show field.

Wristbands must be attached to the wearer. Wristbands in pockets, bags, or vehicles are not valid.

If a wristband becomes detached, it must be taken to the Secretary’s Tent for a replacement.

Vehicle Passes will be issued for all trader vehicles and must be clearly displayed at all times while on the show ground.

Any vehicle without a valid pass may be refused entry or removed from the site.

4. Fire Safety Requirements

All traders must comply with the event’s fire safety standards:

Fire Extinguishers — Suitable and in-date extinguishers must be provided by the trader (e.g., CO₂ for electrical equipment, foam or water for general use).

Gas Safety — Any LPG cylinders must be secured, tested, and used in accordance with current regulations. Gas hoses and regulators must be within date.

Electrical Safety — All electrical equipment must be PAT tested and clearly labelled.

The festival reserves the right to refuse operation of any equipment deemed unsafe.

5. Conduct & Behaviour

No Alcohol or Drug Use — Traders and their staff must not consume alcohol or use drugs while on the show field or during trading hours.

Professional Conduct — All traders must behave respectfully toward festival staff, security, attendees, and other traders.

Cleanliness — Stalls must be kept clean and waste disposed of in designated areas.

Failure to comply may result in immediate removal from the event without refund.

6. Incident Reporting

Traders are required to report:

Any accidents, injuries, or near-misses to the festival’s security team immediately.

Any serious incidents directly to the Show Chairman at 07974 085 164.

Reports must be made as soon as reasonably possible.

7. On‑Site Safety & Operations

Traders must follow all instructions from festival staff, including emergency procedures and vehicle movement restrictions.

All cables, equipment, and structures must be safely secured and not pose a hazard to the public.

Cooking or heating equipment must be used responsibly and monitored at all times.

Generators must not exceed 80 dB at 3 metres. Sound levels will be monitored. Noisy generators may be shut down or moved away from other campers.

8. General Site Rules (Applicable to All Traders and Guests)

The showfield is private property. By entering, traders agree to the following:

The organisers reserve the right to ask anyone to leave the field without giving a reason.

Removal from the site for rule violations will result in no refund of any fees paid.

Anyone asked to leave will be barred from future events. If such a person attempts to enter a future event and is recognised, they will be removed and their entry fee forfeited.

Traders must adhere to the same general site rules as guests and campers, including noise control, respectful behaviour, and compliance with all safety instructions.

9. Additional Rules for Traders Camping On‑Site

These rules apply to all traders staying overnight on the showfield:

Be considerate of others and treat fellow campers with respect.

Quiet hours begin at 10:30pm. No generators may be run after this time.

Please comply with any request from a member of the festival team.

Wear your wristband at all times. Wristbands not attached to the wearer are invalid.

No glass is permitted in the main arena.

No barbecues or fires in the arena or car park areas. In camping areas, no fires or BBQs on the ground. All BBQs must be raised.

No gazebos or structures may be placed in front of the stage. Gazebos may only be erected in designated side‑of‑stage areas.

Any shooting practices must take place well away from the main arena.

All dogs must be on a lead and under control at all times.

No unauthorised trading is permitted anywhere on the festival site.

Please recycle where possible (blue bins) and dispose of general waste responsibly (black bins).

10. Compliance

By attending the festival, traders agree to:

Comply with all relevant UK laws and regulations.

Follow all festival policies, safety rules, and instructions.

Accept that failure to meet these terms may result in removal from the event.
